Rinke Noonan is seeking a Legal Assistant to join our commercial real estate and business transactional practice.

This is a professional position for someone who is highly organized, dependable, detail-oriented, and comfortable working in a busy environment where priorities and deadlines can change quickly. The Legal Assistant will work closely with attorneys, paralegals, and other members of our transactional team and will play an important role in keeping client matters, documents, communications, and workflow organized and moving forward.

Prior law firm or professional office experience is preferred, but prior legal experience is not required. We are willing to train an exceptional candidate who demonstrates strong administrative and technology skills, professionalism, initiative, attention to detail, and a willingness to learn.

Position Responsibilities

The Legal Assistant will provide administrative and document support to attorneys and paralegals working on commercial real estate and business matters. Responsibilities include:

  • Preparing, formatting, proofreading, revising, and finalizing legal documents, correspondence, and other materials;
  • Managing document production and ensuring documents are accurate, properly formatted, and ready for signature or delivery;
  • Maintaining organized and accurate electronic and physical client files;
  • Assisting with opening, organizing, and closing client matters and maintaining matter information;
  • Coordinating attorney calendars, meetings, appointments, deadlines, and other scheduling matters;
  • Monitoring and assisting with attorney email, voicemail, and other communications as appropriate;
  • Communicating professionally with clients, opposing counsel, title companies, lenders, governmental offices, and other professionals;
  • Preparing and organizing signature packets, closing documents, client books, and materials for meetings and signing appointments;
  • Coordinating document signatures, distribution, filing, recording, and other administrative aspects of transactions;
  • Reviewing documents and files for completeness, accuracy, signatures, and required information;
  • Assisting attorneys and paralegals with transaction organization, closing preparation, post-closing matters, and other client work;
  • Learning and effectively using the firm’s document-management, timekeeping, electronic-signature, and other technology systems; and
  • Providing additional administrative and project support as needed to help the transactional team manage multiple active matters efficiently.

The position requires someone who can manage competing priorities, anticipate needs, follow matters through to completion, and maintain accuracy and professionalism even during busy periods.

Qualifications

We are looking for a candidate who brings:

  • Strong organizational skills and exceptional attention to detail;
  • Excellent grammar, spelling, proofreading, and document-formatting skills;
  • Strong written and verbal communication skills;
  • Proficiency with Microsoft Word and Outlook and the ability to learn and effectively use other technology;
  • The ability to manage multiple assignments, priorities, and deadlines;
  • Initiative, good judgment, and a willingness to take ownership of responsibilities;
  • Dependability, responsiveness, and consistent follow-through;
  • Professionalism and discretion in handling confidential client matters;
  • A client-service mindset and the ability to communicate professionally with clients and other professionals; and
  • The ability to work independently while also functioning effectively as part of a team.

Prior experience in a law firm or another professional office environment is preferred. Experience in commercial real estate, business, banking, title, accounting, financial services, or another transactional or professional setting is beneficial but not required.

We place significant value on aptitude, initiative, technology skills, attention to detail, and the ability to learn. A candidate with strong skills in these areas may be successful in this position even without prior law firm experience.

This is an in-office position. Legal Assistants work closely with attorneys, paralegals, and other members of the firm throughout the day, and in-person collaboration is an important part of the position.

Compensation and Benefits

Compensation: Competitive and commensurate with experience

Pay Range: $19.50–$23.00 per hour

Compensation will depend on experience, qualifications, demonstrated skills, and the level of responsibility appropriate for the person hired.
